What is a Day-Of Coordinator?

 

Today, with the explosion of DIY wedding blogs and wedding-themed boards on Pinterest, more and more couples are choosing to plan their own wedding.  This isn't just an economical choice - it also guarantees you'll have that personal touch!

 

But one thing is for sure—you can't coordinate your own wedding day.  The main roles of a Day-Of Coordinator are to ensure that your plans are carried out to the last detail and to discretely handle any issues that may arise.  Working with the venue, catering manager, decorators, entertainment, and photographer, the Day-Of Coordinator seamlessly pulls the many pieces of the puzzle together.  

 

With a capable Day-Of Coordinator watching over the details of the day, you and your friends and family can relax and fully enjoy your celebration.   The months of DIY work are worth it -- entrust a Day-Of Coordinator with experience and flexibility to shoulder the stress of making sure it all comes together.  

 

The following is an outline of just some of the tasks ADWC will handle on the day of your wedding:

 

1-2 Months Prior to Wedding Day -

  • Meet with Bride and Groom to review wedding day timeline

  • Discuss overall vision of wedding and details of the day

  • Provide etiquette advice – where to seat friends and relatives

 

Rehearsal and Rehearsal Dinner -

  • Work with wedding officiator to choreograph wedding ceremony, processional and recessional if needed

  • Remind wedding party of where they need to be the following day and at what time

  • Help with setup of Rehearsal Dinner

 

Pre-Ceremony -

  • Facilitate set up of hair and make-up stylists

  • Manage hair and make-up schedules with bridal party and stylists to ensure everyone is ready on time

  • Coordinate any pre-wedding meal deliveries and clean up

  • Assist bride with putting on her wedding gown

  • Ensure that all flowers and boutonnieres arrive on time and are correctly distributed

  • Make sure photographer arrives on time and has a "Must Have" photo list

  • Gather Bride, bridal party and immediate family for photos

  • Coordinate with transportation vendor for on-time wedding party departure and arrival

  • Ensure the Groom and Groomsmen are dressed and ready on time

  • Transport items such as the Bride's dress (if needed), rings, bridal party's personal belongings, and any Ceremony and Reception decorations

 

Ceremony -

  • Ensure florist has delivered and set up all Ceremony floral arrangements

  • Arrange ceremony items (i.e. programs, guest book, religious items, etc.)

  • Ensure that Ceremony musicians have arrived and direct them as to where to set up

  • Ensure designated attendants arrive on time and prepare them for differing duties (i.e. ushering, passing out programs, etc.)

  • Coordinate with the Ceremony officiant to begin the Ceremony on time

  • Handle any emergencies that may arise

  • Ready the bridal party for their entrances down the aisle

  • Cue Ceremony musicians when bridal party is ready to begin processional

  • Gather family and bridal party for photos after the Ceremony

  • Ensure photographer captures photos from "Must Have" list

  • Transport items from the Ceremony location to the Reception venue and store any items not needed at the Reception
     

Prior to Reception -

  • Greet vendors and instruct them as to where to set up (i.e. band/DJ, florist, baker and caterer)

  • Make sure your designated Emcee can correctly pronounce the bridal party's names (and in the right order) for introductions

  • Arrange escort cards

  • Ensure reception flowers and décor (i.e. guest book, cake cutting materials, table numbers, menu cards, favors, etc.) are all set up according to plan

  • Confirm that additional lighting and uplighting is arranged and working appropriately

  • Meet with catering staff to confirm food timeline

  • Set up amenities baskets, hand towels, candles etc. in bathrooms

  • Assist catering staff with remaining setup needs

  • Review final set-up before guest arrival

 

Reception -

  • Ensure proper flow of cocktail hour food and drinks

  • Encourage guests to take their seats at the appropriate time

  • Help guests locate their escort cards and dining tables

  • Cue Emcee, photographer, videographer, etc. for announcements of important events (i.e. introductions, first dance, parent dances, cake cutting, and toasts)

  • Cue designated family members and/or friends when they are about to be announced for toasts

  • Know the catering service's schedule and help ensure that guests are served at the appointed time

  • Distribute final payments/gratuities to vendors at the end of the night

  • Prevent and fix any problems that may arise during the event

  • Remain easily accessible through the entire event in case there are any details the Bride & Groom would like attended to

  • Collect gifts and personal décor items and ensure they reach the designated family member, room and/or vehicle

  • Coordinate reception departure transportation and/or send off
